How it works

The Email (IMAP) connector signs in to a mail server over IMAP with SSL and indexes the emails in the mailboxes you select. Each email becomes one document. The subject is the document title. The email body is the document text. After the first run, the connector only fetches new emails on each poll.

Setting up

Authorization

1

Enable IMAP

Enable IMAP access on the mail account. For hosted providers (Gmail, Outlook.com, Fastmail) check the provider’s settings.
2

Get a password

Note the account username and password. If the provider requires app passwords, create one and use it instead of the account password.

Indexing

1

Create a credential

Go to Admin Panel → Connectors and select Email (IMAP). Select New IMAP Account. Enter the IMAP Username and IMAP Password, then select Create.
2

Enter the server details

  • IMAP Server Host: the host name of the IMAP server, for example imap.example.com.
  • IMAP Server Port: the SSL port of the IMAP server. The default is 993.
3

Select mailboxes (optional)

In Mailboxes, enter the mailbox names to index, for example INBOX or Sent. Leave the field empty to index every mailbox on the account.
4

Choose document access

Under Document Access, select Everyone in Your Organization or Specific Groups. Specific Groups needs the Business or Enterprise tier on Onyx Cloud, or the Enterprise Edition when self-hosted.
5

Start indexing

Select Create Connector. Onyx signs in to the server to confirm the settings and then starts indexing.
To index several accounts, create one connector per account. The Email (IMAP) connector does not support Sync with Email (IMAP) (permission sync).
